Centralised Materials help you keep Materials consistent across multiple workshop departments, providing the ability to replicate changes to Materials to all workshop departments efficiently.


Centralised Materials ensure that your workshop materials information and pricing are consistently updated across all workshop departments. Before beginning the setup, it’s important to have a clear understanding of the following: 


  • Master Department: Determine which department will serve as the Master Department.
  • Stock Analysis Groups and Pricing: Identify which parts belong to each Stock Analysis Group and the corresponding Price Level for each group.
  • Parts Information Updates: Determine the information that needs to be updated from the Master department to the secondary departments.

Setting Up Centralised Materials


Enable Auto Update


First select Workshop 1, then go to (1) Maintenance > (2) System Setup, click on (3) Stock Tab, then click on (4) Auto Update Settings.


To enable this feature, you will need to tick Enable Auto Update (based on Auto-Add settings), choose your Master Department from the listing. 


Set Fields to be Updated


Next, you need to select all the fields of workshop materials to be updated during auto-update.


In the example below, W1 has been chosen as Master Department and ALL fields are selected to be updated:


Set Up Analysis Groups to be Auto-Updated


Then navigate to (1) Workshop 1 > (2) Maintenance > (3) Stock Analysis Group, select a specific (4) Analysis Group needs to be updated, and select the (5) Auto Add tab.


Tick Auto Add option, and select if you want the update to apply to All Workshop Departments 



Alternatively if you wish this update only would apply to specific departments, then uncheck All Departments, type the department into the Departments fields:


Check Price Level Configuration


Within Maintain Stock Analysis Group, go to General tab. Make sure you have accurate price level for this group, the price level will be synced based on this Multiplier entries.



Making Changes to a Centralised Material


Go to the Master Workshop Department > Stock Enquiry, & select a part belongs to an existing Stock Analysis Group with Auto-Add enabled:



Make your required changes - bearing in mind the only changes that will replicate to the other workshop departments will be based on your auto-update settings configured earlier.


Once you save the changes, go to a non-master department > Stock Enquiry, select the part with the same Part Number. You should see the pricing fields are updated as per changes in master department. 


The greyed-out fields indicate you are not in the Master Department:



Important Points to Note:

  • Materials created in the master department cannot be edited in other departments.
  • Materials created within an auto-add analysis group from the a slave department are not created in the master department.
  • Materials that are not part of an auto-add analysis group continue to function independently as they always have.
  • Deletions of Centralised Materials: 
    • All deletions must be undertaken from the master department.
    • Only materials with no stock on hand can be deleted.
    • A warning will display when attempting to delete a centralised material that has an on-hand quantity.
  • Serialised stock is editable regardless of the slave/master department relationship
