Overview
The Sub-Group Fee Automation feature in ORION allows you to automatically apply itemised fees, such as the Tyrewise recycling fee,to specific stock sub-groups. While this functionality was designed to support Tyrewise compliance, it is flexible and can be used for any scenario where additional charges need to be associated with particular products or categories. Fees are always shown as separate line items on invoices, ensuring transparency and compliance with regulatory requirements.
Key Benefits:
- Ensures regulatory compliance by itemising fees (e.g., Tyrewise) on invoices.
- Flexible setup allows you to link any additional fee to a stock sub-group, not just Tyrewise.
- Reduces manual entry and administrative effort by automating fee application.
- Improves accuracy and customer transparency with clear cost breakdowns.
Key Requirements
- The fee (e.g., Tyrewise) will be displayed as a separate line item on invoices, in line with compliance requirements.
- The original sale price of the product (e.g., tyre) remains unchanged.
- The fee is recovered from the customer by explicitly showing it on the invoice.
Example
Item | Unit Price | Quantity | Total |
---|---|---|---|
Tyre (e.g., Size XYZ) | $100.00 | 1 | $100.00 |
Tyrewise Fee | $7.50 | 1 | $7.50 |
Invoice Total | $107.50 |
Important: To meet Tyrewise compliance requirements, the free will be added as a separate line item on the invoice.
Prerequisites
Before you begin, ensure the following:
- The part you want to add as an additional fee is listed in your stock.
- The fee you want to link is recorded as a Sundry Part.
- The relevant fees (e.g., Tyrewise) are included in the Sub Group and mapped to the Sundry Part.
- You have permission to edit stock details.
Setup Steps
Follow these steps to set up and use Sub-Group Fee Automation:
1. Link Sundry Part Fee as a Sub Group
- Navigate to Parts Module > Maintenance > Stock Sub Group.
- Insert a new Sub Group (e.g., “Tyrewise Fee”).
- Go to the Automatic Fees tab and select the Sundry Part fee you wish to assign and map.
2. Add Part (e.g., Tyre) to a Job
- Navigate to Workshop Module > Create/Open a Job > Add Part (e.g., Tyre).
- When you add the part to the job, the linked fee will be automatically added as a new line item
Notes
- Tyrewise fees are mandatory for all tyres sold. If multiple tyres are sold, the fee is applied per tyre.
- Fees may vary based on product size or category. Ensure the correct fee is linked to each product to apply the right amount.
- This feature can be used for any additional fees, not just Tyrewise.
