TABLE OF CONTENTS
Hero Features
Windcave EFTPOS Integration
Orion now integrates with Windcave, giving you another choice of EFTPOS provider. The payment amount is sent from Orion straight to the Windcave terminal, so staff no longer need to key it in by hand.
- If you have more than one terminal, choose which one to use for each payment
- Card surcharges are calculated on the terminal and posted automatically as a separate fee line
- Receipts and transaction history show the sale amount, surcharge and total charged
Windcave merchant accounts and terminals are arranged directly with Windcave.
For setup and usage instructions, see [Orion] Windcave HIT Integration
Parts Order Import
Parts orders can now be filled from a supplier file using the new Import button on the order.
- Reads CSV or Excel (XLSX) files saved in the supplier’s import folder
- Adds the lines from the file to the order
- Automatically creates any parts not yet set up as stock items
Large supplier orders can be entered in one step instead of line by line.
For setup and usage instructions, see [Orion] Import Parts Purchase Orders from CSV or Excel
Streamline Supplier Invoices
Orion now integrates with Streamline, the accounts payable automation service from Acume. Supplier invoices captured by Streamline arrive in Orion on the Supplier Invoice Review screen, where they are compared with your existing orders before you create the supplier invoice.
- Invoice lines are matched against existing Orion orders, with variances and unmatched lines highlighted for review
- The original invoice document can be opened directly from the review screen
- Once an invoice is checked, the supplier invoice is created from the matched order details
- Where no matching order exists, a parts order can be created directly from the invoice
- Processed invoices are kept in History for reference
Streamline Supplier Invoices requires an Orion system hosted by Auxo, with the Orion API and Streamline Supplier Invoices add-ons enabled.
For setup and usage instructions, see [Orion] Add-on 146 – Streamline Supplier Invoices
Detailed Release Notes
Enhancements
| Issue Key | Module | Description |
|---|---|---|
| ORION-14296 | Accounts | The GL Posting Analysis for Debtors and Creditors transactions now shows the GL code name alongside each code, so entries can be read without looking up codes separately. |
| ORION-14318 | Accounts | The Cashbook setup now supports up to 10 Default Payroll GL Codes, increased from 6. This removes the need to add GL codes manually each time a payroll payment is processed. |
| ORION-14567 | Accounts | A new Investment Boost option is available when adjusting an asset in the Asset Register. It records the Investment Boost deduction as depreciation, reducing the asset’s book value for future depreciation calculations. |
| ORION-14406 | Accounts / GL | Combining GL codes is now significantly faster, particularly for sites with a large transaction history. |
| ORION-14507 | Accounts / Integration / Orders / Parts | An additional option has been added to the Streamline supplier invoice import. For invoices to parts departments with no matching order, the order can now be created from the invoice. |
| ORION-14460 | Accounts / Reports | The GST Report can now be exported to Excel. |
| ORION-14550 | Accounts / Stock | A new security option lets you restrict users from making stock adjustments in Workshop. |
| ORION-14438 | Addon / Eftpos Integration / System | Orion now supports EFTPOS payments through Windcave terminals, adding another choice of EFTPOS provider. If you have more than one terminal, you can choose which one to use. Surcharges are calculated by Windcave on the terminal and posted automatically as a separate fee line, so no manual entry is needed. Receipts show the sale amount, surcharge and total charged. |
| ORION-14498 | Debtors | The DCR (Direct Credit) payment type can now post commission automatically, as CCC does. Set a commission GL code on the DCR payment type. When a payment allocated in Debtors exceeds the outstanding balance, the difference is posted as a commission journal and matched against the invoice. |
| ORION-14568 | Integration / Reports | A new Scania Service Report (add-on 147) is available in Accounts Reports for Scania dealers, with an option to email the report. |
| ORION-14426 | Invoice / Jobs | A new Delete Jobs option in Workshop security settings controls whether a user can delete workshop jobs. Untick it to limit deletion to authorised users such as managers, while other users can still edit and close jobs. The setting applies in both Orion and webWorkshop. |
| ORION-14261 | Invoice / Parts | Resolved an issue where users without the Sell Parts into Negative On-Hand security option could not edit existing part lines, including notes, once stock was at or below zero. These users can now maintain existing lines, but are still prevented from adding new parts that would take stock into negative. |
| ORION-14548 | Invoice / Parts | The Parts Invoice Enquiry screen now shows a Discount column for each line, with any global discount shown in the footer. |
| ORION-14557 | Jobs | PDFs added to a job in webWorkshop can now be opened in Orion, including PDFs with long file names. |
| ORION-14262 | Jobs / Parts / Workshop | On the Post Parts to Workshop screen, duplicate part numbers posted in the same session are now combined into a single line on the This Batch tab and on the printout, making the batch easier to check and pick from. Lines on the job itself remain separate. |
| ORION-14493 | Jobs / Workshop | A new Global Discount option in Workshop security controls whether a user can apply a global discount to a workshop job. The setting applies in both Orion and webWorkshop. |
| ORION-14392 | Orders | Parts orders can now be filled from a supplier file. A new Import button on the order reads CSV or Excel (XLSX) files saved in that supplier’s import folder. It adds the lines to the order and automatically creates any parts not yet set up as stock items. Large supplier orders can be entered in one step instead of line by line. |
| ORION-14404 | Orders | A new PO-ORDERSTATUS bookmark is available for Purchase Order custom forms, so the order status set on a purchase order can be shown on the printed form. |
| ORION-14263 | Orders / Parts / Stock / Workshop | Part orders raised from a workshop job now include the workshop department code in the job reference. The reference carries through to Stock Transactions, the Purchase Order Details report and the received part’s transaction. This makes it clear which workshop a part was ordered for, which helps where one parts department supplies several workshops. |
| ORION-14368 | Orders / Reports | The Purchase Orders report now includes a Status filter, and the exported Excel file includes a Status column. This lets you filter purchase orders by status and report on their status directly from the export. |
| ORION-10217 | Parts | Parts Library Text can now be assigned to a specific department, matching the option already available in Workshop. Leave the department blank to make the text available across all parts departments. This means the same text can be used across multiple departments without creating duplicate entries or hitting duplicate keycode errors. |
| ORION-11745 | Parts | When a Parts invoice is recharged to a different customer using Recharge Invoice, Orion now also creates a credit note and a duplicate invoice for the original customer. The credit note can be viewed, printed and emailed, so the original customer receives a formal credit note for their records rather than a debtors report printout. |
| ORION-14297 | Parts | A Do Not Reorder? option has been added to the default Auto Update Field List in both the Parts and Workshop module settings. In centralised parts setups, this lets the setting propagate from the Master department to slave departments alongside other auto-updated fields. |
| ORION-14333 | Parts | Corrected behaviour where, after a stock item was created with the same part number as a procured part on a parked invoice, returning the procured part to stock left the quantity on the procured part instead of the new stock item. The quantity is now returned to the stock item correctly. |
| ORION-14480 | Parts | Back-ordered purchase orders now appear on the Purchase Order Details report. This applies to orders and back orders created after this update. |
| ORION-14558 | Parts | A new Parex layout is available in the Parts Export program (add-on 53). Column headers can be included in the export. |
| ORION-14459 | Parts / Reports | The Parts Sales Analysis report can now be exported to Excel using Send To on both the summary and detail views. |
| ORION-14373 | Parts / Stock | Other windows in Orion can now be opened and used while the Outstanding Transfers window is open, matching how Workshop behaves. |
| ORION-14321 | Rental | The Rental Performance Report (Individual) now includes an All Stock tab, allowing you to report on items that are no longer flagged as rental stock, including rental vehicles that have been sold and moved back to InStock. Previously these items could not be selected once removed from rental, making it difficult to review the history of a sold rental. |
| ORION-14464 | Rental | Each asset on a rental contract can now have its own Asset Contract Expiry Date, shown in the contract postings. This lets assets on the same contract be renewed or extended individually. The contract expiry date and off hire dates continue to work as before. |
| ORION-14465 | Rental | A new Asset Rental Due to Expire screen lists rental assets approaching their asset contract expiry date. From it, users can open contracts, tag lines and create sales leads for upcoming renewals, and export the list using Send To. |
| ORION-14491 | Rental / Sales | Sales leads can now be created from the rental expiry report for assets approaching their expiry date. Each lead carries the customer, contract, machine, salesperson and a Rental Expiry lead source, with a default rating and referral source set in Rental System Setup. A No Lead Since filter shows which items already have a recent lead, and the contract’s Audit tab records which item and invoice each lead was created for. |
| ORION-14299 | Sales | The Delivery Date now appears as a column in the Deal listing, so upcoming deliveries are visible without opening each deal. The delivery date and time entered on a Sales Quote also carry through to the Deal. |
| ORION-14342 | Sales | On the Deal Deposit window, the Cheque Number field has been renamed to Reference/Payment Method, reflecting that payments are no longer limited to cheques. |
| ORION-14456 | System | The Orion Help and Knowledge Base menu options have been combined into a single menu that opens the Knowledge Base directly on the website. Pressing F1 now opens the same page. This resolves the issue where the previous help file could open blank or be blocked from opening. |
| ORION-14435 | Workshop | The Kit listing now has a Search Anywhere option that searches both the kit keycode and description. Kits can be found by any part of their name (for example, “BMW”) without knowing the exact keycode or scrolling through the list. |
| ORION-14484 | Workshop | Users can now be prevented from discounting parts and materials on workshop jobs. Untick Give Material Discount in Workshop security to stop users changing material prices or discounts, and Invoice Line Discount in Parts security to do the same for parts. Restricted users must use the system price. |
| ORION-14542 | Workshop | The Technician Transactions screen in Timeclocking is now larger, so more of a technician’s postings for the day are visible without scrolling. |
Bug Fixes
| Issue Key | Module | Description |
|---|---|---|
| ORION-14443 | Accounts | Inactive departments can no longer be selected in the Banking Departments list on a user’s Accounts tab, and are no longer listed. |
| ORION-14444 | Accounts | Resolved an issue where inactive departments could be selected as a user’s Default Department on the Workshop tab. Inactive departments are no longer listed. |
| ORION-14504 | Addon / Payment | Farmlands can now only be used to pay an invoice in full. When Farmlands is selected, the amount is fixed to the full invoice total. If part of the invoice has already been paid by another method, a message is shown and the Farmlands payment can’t proceed. |
| ORION-14423 | Debtors | Fixed an issue where a receipt unmatched in Debtors did not appear in credit matching until after the month-end rollover. Unmatched receipts can now be matched again straight away. |
| ORION-14409 | A PDF attached to a job’s digital images no longer shows a blank icon. The PDF icon now displays correctly. | |
| ORION-14497 | Jobs | Resolved an issue where adding a sales order number to a workshop job before a job number was allocated created duplicate lines. The vehicle details now populate correctly without duplicates. |
| ORION-14451 | Jobs / Parts | Fixed an issue where users without the Delete Parts Issued to Workshop Jobs security option could still delete parts from a job. The security option is now enforced. |
| ORION-14428 | Orders / Parts | Corrected behaviour where a sundry item could be ordered to stock on a parts purchase order by changing the line type after selecting the item. Sundry items can no longer be ordered to stock. |
| ORION-14403 | Parts | The Suggested Buy total now loads quickly regardless of size. Previously it was slow to load when it contained a large number of records. |
| ORION-14412 | Parts | The cost of a stocked part can no longer be changed when adding it to a Parts invoice. This protects the part’s average cost, which is updated only through orders and adjustments, keeping stock valuation in line with the General Ledger. |
| ORION-14562 | Parts | Fixed an issue where returning a procured part to stock through a credit could leave the on-hand quantity incorrect. |
| ORION-14431 | Parts / Stock | Resolved an issue where creating a Suggested Buy with Allow For Superseded Stock ticked could take several minutes to start. Suggested buys with this option now load quickly. |
| ORION-14505 | Reports | Vehicles sold on a deal at a zero value are no longer counted as negative units on the Statement of Financial Performance report when Compare with Units is selected. This applies to sales posted after this update. |
| ORION-14555 | Reports | The Parts Sales Analysis report now runs significantly faster when reporting on Parts and Workshop departments. |
| ORION-14457 | Sales | When a Deal is printed to a custom form, the line items now keep the order shown on the Deal screen, and section details are included so the form can show section headings. A new or updated custom form template is needed to use the section headings. |
| ORION-14487 | Sales | When Use First Name & Last Name is unticked in General setup, the Sales module no longer asks for separate salutation, first, middle and last names when adding a customer, matching the other modules. |
| ORION-14490 | Stock / Workshop | The Part Number now prints correctly on the Workshop Label. |
| ORION-14323 | Workshop | Resolved an issue where invoice text was missing from the invoice view in Orion for jobs that had been split in webWorkshop. Invoice text now displays correctly for these jobs. |
| ORION-14436 | Workshop | Corrected behaviour where the Workshop Month Summary, run with Based on Department of Individual Posting, showed no sales for departments that only charge materials to jobs. Sales amounts now display correctly whether run for all departments or a single department. |
| ORION-14543 | Workshop | Changing the account type of a new customer with no transactions no longer changes the customer’s GST setting. The GST rate already selected is now kept. |
